More questions organisers ask

Can you cover photography and video at the same event?

Yes. A coordinated photo and video crew works to one run of show with shared priorities, and you receive separate photo and video deliverables. If you only need one of the two, we scope that alone.

How early should we book, and can you handle a last-minute event?

The earlier the better for conferences and multi-day programmes, because crew and equipment are planned around the run of show. Short-notice requests are checked against availability: send the date and we confirm whether we can cover it.

Do you work with agencies as a production partner?

Yes. Event agencies, communication agencies and producers brief us directly; we work to your brief and your client’s protocol, with one point of contact on our side.

Can we receive a selection of photos during or shortly after the event?

It depends on the scope. When a same-day or early selection for press or social media is part of the brief, it is planned into the coverage and the proposal; otherwise delivery follows the schedule agreed for the project.

Can you record speakers, interviews and sound?

Yes. Speeches, panels and interviews are recorded with dedicated audio where the scope includes it; we check the venue’s sound setup beforehand so the recordings are usable.

How are usage rights and confidentiality handled?

Usage rights for the delivered photos and videos are set out in the proposal according to how you will use them. Confidential or closed-door sessions and no-photo moments are agreed before the event and respected on site.

Can you cover events outside Brussels?

Yes. We are based in Brussels and cover events across Belgium. Travel and access requirements are part of the quote.

What do you need from us for a quotation?

The date (or an indicative period), the city and venue, the type of event, whether you need photography, video or both, the approximate duration and the outputs you expect. The form on this page asks for exactly these details.

What you can commission

Each item is scoped and quoted separately: combine them in one booking or start with a single deliverable.

  • Event photography: Speakers, delegates, branding, atmosphere and the key programme moments, delivered as editorial images you can use for press, social media, internal channels and your archive.
  • Event film / aftermovie: A short film of the event for post-event reporting and campaign use.
  • Interviews and speaker clips: Recorded on site with attention to usable sound; the review and approval steps are agreed with you.
  • Social-first content: Vertical excerpts, highlight cut-downs and a selection of stills for your communication channels.
  • Coordinated photo + video crew: One run of show, shared coverage priorities and separate photo and video deliverables, with multi-camera setups for panels and keynotes when the programme needs them.
  • Live-stream support: For sessions that need to be streamed, see the live-streaming service: it is scoped as its own production.

Why organisers work with us

From our base in Brussels we plan the coverage around your run of show: who must be photographed, which moments cannot be missed, where the crew may stand and when, and how branding should appear in the frame. Access accreditation, venue rules and the protocol office’s instructions are settled before the day, so the crew stays unobtrusive on site.

For agencies and production partners this means one point of contact, a crew that works to your brief and a clean handover of usable media in the agreed formats. What a given package includes is set out in your proposal.

  • Run-of-show planning with the organiser before the event
  • Speaker, VIP and brand-placement priorities agreed in advance
  • Accreditation, venue coordination and protocol instructions handled before the day
  • Equipment and crew matched to the room, the light and the programme
  • Editorial review before delivery: selection, sound check and approvals where needed

How it works

Delivery timing is agreed per project; we do not promise a universal turnaround.

  • 1. Brief: Date, venue, run of show, the people and moments that matter and the outputs you need.
  • 2. Proposal: We agree coverage hours, crew roles, deliverables, usage, travel and schedule; the proposal sets out the payment terms.
  • 3. Event coverage: We coordinate with the organiser and the venue and capture the agreed priorities.
  • 4. Editing and handover: You receive the agreed formats, with the review round and the schedule agreed before the event.
